Financial and Administrative Assistant
(FULL-TIME POSITION)
Purpose:
To coordinate the accounts receivable systems of the agency.

Responsibilities:
  • Ensures records and reports pertaining to accounts receivables are maintained;
  • Responsible for the processing, printing and mailing of monthly invoices;
  • Responsible for the pre billing check of all accounts receivable;
  • Process invoice payments; verify and reconcile accounts;
  • Maintains accurate records of all fees for service incoming cheques and other cheques to the agency;
  • Prepare cheques and cash for banking deposits;
  • Prepares reports related to the billing and ensures that they are available for accounting and auditing purposes;
  • Provides the Executive Director and Accountant with a monthly receivable summary;
  • Process the monthly statistical report and distribute to Managers;
  • Responsible for client follow up and NSF cheques and maintain records;
  • Notify and review overdue accounts with respective Managers;
  • Handle inquires from clients regarding their accounts;
  • Works in conjunction with the Office Manager;
  • Attends training and agency related meetings as required;
  • Other duties as requested;
  • Works to ensure that the SSS Anti-Discrimination/Anti-Oppression Policy is adhered to.


Qualifications:
  • College level training in bookkeeping or related field;
  • Training and/or working knowledge of computer operating;
  • Systems and software such as Word, Excel, and CIMS database;
  • Customer service training and skills in handing inquiries and providing information;
  • Emergency First Aid and CPR training.

Office & Program Assistant
(FULL-TIME POSITION)
Purpose:
Assist with the day-to-day operations of the agency’s Administrative Department as outlined in the Agency’s Office Procedures and Practices for Front Office Personnel.

Assist other Program Manager(s) with duties and responsibilities related to program activities as directed.


Responsibilities:
  • Front office functions including: answering and relaying incoming telephone calls;
  • Checking and distributing voice mail messages in general directory;
  • Monitoring sign in and out of agency personnel and visitors;
  • Dealing with inquiries from clients;
  • Accepting payments from clients and issuing receipts;
  • Sending and distributing faxes;
  • Opening and distributing all incoming mail;
  • Preparing all outgoing mail with postage;
  • Inputting intake information on CIMS (agency’s database);
  • Preparing calendars, flyers, notices as required;
  • and any other office duties as directed by the Office Manager or delegate.
  • Contacting clients to verify schedules or appointments;
  • Contacting staff to relay messages; inputting and updating client information in database;
  • and other duties and responsibilities as directed by Program Manager.


Qualifications:
  • Post-Secondary Education such as Social Service Worker certificate;
  • Training and/or working knowledge of office duties and responsibilities such as Customer service;
  • Emergency First-Aid and CPR training;
  • Training and/or working knowledge of computer operating system and software such as Microsoft Word, Excel, Publisher, CIMS-Database.

SHP Personal Support Worker
(RELIEF/FILL-IN POSITION)
Purpose:
To deliver personal support and homemaking services to eligible clients in the building.

Responsibilities:
  • Perform essential homemaking, personal care and security checks to eligible clients;
  • Respond to and deal with emergency calls for Lifeline clients;
  • Assist in preparation of meals;
  • Complete daily charting, verbal reports and feedback to the team and on-site Coordinator/Manager;
  • Provide feedback on observations related to client care-plan so that services can best meet changing client needs;
  • Perform additional tasks and duties as assigned or deemed necessary by the Coordinator;
  • Provide support to the Program by answering incoming calls, acknowledging and assisting clients who visit the on-site office;
  • Maintain files and reviewing documentation relating to client care.


Qualifications:
  • Personal Support Worker training from a recognized College;
  • Sensitive to the cultural characteristics of clients from various ethnic groups;
  • Good communication and interpersonal skills;
  • Ability to work as a team and take initiative;
  • Flexibility to be available for relief work;
  • Effective coping skills to manage fast-pace environment;
  • Maintain confidentiality, respect and dignity when providing services to clients.
